How it works

What this service covers in practice.

Microsoft 365 licences run from E1 through Business Premium, and the right choice is rarely obvious from the SKU list. Oversized licences bleed $20–40 per seat per month for features nobody touches. Undersized licences create security gaps that Copilot and AI features quietly exploit once they are active. We audit the existing tenant, map actual usage to licence SKUs, and right-size before migration so the bill lands correctly from month one. Most clients reduce licence spend by 15–25% in the first 90 days without losing a feature they actually use.

SharePoint architecture is where most tenants break down. A flat SharePoint without a site structure becomes unusable at 40 or more users. Content piles into Teams channels with no taxonomy, search returns irrelevant results, and the digital filing cabinet becomes a digital landfill. We design the SharePoint architecture before migration — hub sites, document libraries, metadata columns, permission inheritance, and a folder convention the team will actually follow. Fixing a broken SharePoint after the fact is a separate remediation project; building it correctly from the start is a different cost entirely.

Azure Active Directory is the identity layer everything else depends on. Conditional access policies enforce MFA, restrict access by compliant device and named location, and block legacy authentication protocols that attackers use routinely. Microsoft Entra ID Governance handles joiner-mover-leaver processes so that when a staff member leaves, access is revoked through a single workflow rather than a checklist across twelve apps. Privileged Identity Management limits standing admin access so IT staff are not logged in as global admins by default. These are not enterprise-only features — they ship with Business Premium and P1 licences that most Sydney SMBs already pay for.

Microsoft 365 Copilot changes the compliance calculation before it changes productivity. Copilot surfaces content from across the tenant to users who ask for it, so a poorly permissioned SharePoint with overshared sites becomes a confidential-data liability the moment Copilot is active. We run a Copilot readiness assessment before any rollout — mapping permissions, classifying sensitive content, and applying sensitivity labels. That work is required whether you turn on Copilot this year or in three years. Delaying it means building the problem larger every month.

Where will our data live?
Australia East (Sydney) by default for sovereign data residency. Backups replicate to Australia Southeast (Melbourne) for geographic redundancy. We never silently provision in US or EU regions; if a tenant requires it, we document the choice in writing first.
Can you migrate without downtime?
Yes, most cutovers (mailboxes, file shares, virtual desktops) are zero-downtime when staged correctly. We confirm the cutover plan in writing, run it on a Saturday morning, and have a rollback path tested on staging before we touch production.
Do we need to abandon our existing on-prem servers?
Not necessarily. Hybrid is a first-class option. We often run hosted file servers and Azure AD Connect alongside legacy domain controllers for years. The decision is led by what each workload needs, not by a "cloud-only" policy.
How is licensing handled, direct with Microsoft or through SDS?
Through SDS as a Microsoft Cloud Solution Provider. You get one consolidated bill, monthly true-ups, and the same per-seat pricing Microsoft publishes, no broker margin tax. You can move licences back to a direct EA at any time; we don't lock the tenant.
What does "managed" include for the cloud tenant?
Tenant security baseline (CIS), conditional access, MFA enforcement, role assignments, mailbox + SharePoint backup, license-usage reporting, and quarterly posture reviews. Day-to-day admin (password resets, group adds, joiner-mover-leaver) is handled by helpdesk inside the SLA.
