Is a vCIO different from a senior consultant?
Yes. A consultant turns up for a project and leaves; a vCIO is in your leadership rhythm, same person every month, present at strategy meetings, involved in budget conversations, briefed on the people dynamics, accountable for the long-game. Most consultancies bill four times the rate to deliver a fraction of the continuity.
When should we add a vCIO retainer?
Three signals usually trigger it: (1) you’ve crossed 50 staff or $10M revenue and IT decisions are starting to show up in board papers; (2) you’ve had a near-miss (cyber incident, audit finding, major outage) and the leadership team wants someone accountable; (3) you’re planning a large change, acquisition, ERP move, system consolidation, ownership change, and want technical leadership embedded in the team driving it.
Does the vCIO replace our internal IT manager?
No. The vCIO sits alongside an internal IT lead (if you have one) and brings external perspective, board-level reporting depth, and vendor leverage. If you don’t have an internal IT lead, the vCIO acts as the strategic voice and the SDS service desk handles the operations, the model works either way.
How is this different from the strategic input baked into the managed IT contract?
The Managed IT contract gives you an Account Manager, a quarterly business review and operational reporting, that’s sufficient for most SMBs. The vCIO retainer adds dedicated monthly strategic time, deeper involvement in major decisions, and a presence at board or leadership meetings when needed. You step up to vCIO when the strategic load grows past what the standard cadence can carry.
Can we just buy ad-hoc strategic advice without committing to a retainer?
Yes. Ad-hoc vCIO time is $400/hour, business hours, billed in 15-minute increments. After-hours is +50%. The retainer is more cost-effective once you’re using more than two hours a month, at four hours the effective rate is roughly half, but the ad-hoc model exists for occasional strategic sounding-board work.
What’s in the board pack you produce?
Two pages: page one covers the security posture, system uptime, support load, and any incidents in the period; page two covers the strategic items in flight, upcoming roadmap milestones, and the budget position. Board members read it in under three minutes. The supporting detail sits in a longer monthly operational report for the executive team.
